What a Vendor Portal Makes Possible

Every portal starts with one question: what should a supplier see and do in your store without touching anything that isn’t theirs?

  • Per-vendor product visibility. Vendors see and edit only their own catalog, in the admin and, where you want it, on a partner-facing storefront view
  • Role-based permissions. Capabilities split finely: catalog without pricing, orders without refunds, documents without financials
  • Vendor documents. Spec sheets, compliance files and agreements, each with access rules per document and per role (more on product document management)
  • Scoped order views. Vendors follow fulfillment on the orders that concern them, while financial detail stays with your team by default
  • Reconciliation tooling. Products that already exist on both sides are matched and linked rather than duplicated
  • No-code administration. Visibility rules, document groups and permissions managed from settings screens your own team runs

How We Build It

Six architecture decisions that keep a vendor portal safe as it grows.

Permissions Are Data, Not Roles

Vendor scoping lives in explicit rules about who sees what, not in redefined WordPress roles. Rules survive plugin updates and can be tested vendor by vendor.

Data Separation First

Vendor-owned products, documents and order data are partitioned so nothing leaks through list queries or search. Order storage stays HPOS-safe.

REST-First Integrations

When vendors or ERPs need feeds, they get scoped REST endpoints backed by Action Scheduler queues, so syncing never blocks the store.

Per-Vendor Notifications

Each vendor hears about what concerns them and nothing else: new orders, stock changes or payments, by email or by webhook into their own systems. It’s the pattern behind the per-vendor webhooks we built for BitLift’s marketplace.

Documents Are First-Class

Attachments carry their own access rules and versions. If files live in a DAM or brand portal, they stay synced through its API.

Audit Trail Included

Every permission-relevant action is recorded, the same pattern we built into Mighty Kids‘ refund and cancellation system.

Everything a portal touches goes through WooCommerce’s APIs rather than around them. The rules behind these decisions, and who owns each one, are on our engineering standards page; for custom integrations, see WooCommerce Plugin Development & API Integration.

Proof: The Official Faire Integration

Not a vendor portal, but the same hard problem: two parties sharing one catalog and one order flow without overwriting each other.

Faire is a wholesale marketplace connecting retailers with independent brands, and many of those brands also run their own WooCommerce stores. The integration we built had to make both sides one workflow: products published once and kept in sync, orders flowing in both directions, and, hardest of all, brands whose catalogs already existed on both platforms before the plugin did.

400+

brands using the integration to sell on Faire from their WooCommerce stores

10,000+

products and orders synced through the platform, in both directions

3

core modules: product sync, order sync and product-linking reconciliation

Frequently Asked Questions

What is a WooCommerce vendor portal?

A controlled part of your WooCommerce store that suppliers or partners can access: their products, their orders and their documents, with everything else invisible. It’s built on WooCommerce’s roles, capabilities and APIs, so there’s no separate app to maintain.

How is a custom vendor portal different from a marketplace plugin?

Marketplace plugins like Dokan turn one store into a multi-vendor marketplace. A vendor portal gives partners access to the store and workflows you already run. If an off-the-shelf plugin covers your rules, we’ll recommend it; custom work makes sense when the rules are specific to your business.

Can vendors manage products without seeing other vendors’ data?

Yes, that’s the core of the build. Each vendor’s access is limited to their own records and to the actions you allow, and it’s enforced on the server, not just hidden in the interface.

Can vendors add their own products?

Yes. Vendors can create and edit products within their own scope, and you decide per vendor whether changes go live straight away or wait for your team’s approval.

Do vendors log in through our WordPress admin?

Usually, through a scoped view of the admin, so there’s one system to maintain. A front-end portal is the other established pattern. Which fits better is decided during scoping, based on what your vendors actually do.

How is a vendor portal project priced?

As a fixed quote after scoping, based on the number of permission levels, integrations and document types involved, not an hourly meter. Projects start at €2,500. You approve a written scope before we build.

Need Vendors Inside Your WooCommerce Store?

Tell us what your vendors need to see and do. You'll get a plain answer about what's involved and what it should cost.

What happens next

  1. Tell us how vendors work with you today. A call or an email is enough to start.
  2. We map who needs to see what: products, orders, documents and integrations.
  3. You get a written scope and a fixed quote (projects start at €2,500), or a straight answer if an existing plugin does the job.
